This policy explains what the Adullam app collects about you, why, who else sees it, and what you can ask us to do about it. It covers the mobile app only.

Who we are. Remnant Christian Network Theological Seminary, Adullam (“the seminary”, “we”), Makurdi, Benue State, Nigeria. We are the data controller for everything described here.

The app is not open to the public. It is for people the seminary has admitted, students, faculty, staff and alumni. You cannot create an account by downloading it. Your email address must already appear on the seminary’s admitted-students register, which the Registrar maintains.

1. What we collect

Given by you

At sign-up: your email address, full name and phone number.
Proof of payment: the screenshot, photo or PDF you upload to show a bank transfer, and the details read from it, amount, date, payer name, bank reference and your Financial Identification Number (FIN).
Messages you write in your class rooms, and questions you ask Gabriel, the in-app assistant.
Requests you send to seminary offices, and prayer requests you submit.

Held about you by the seminary

Your programme, mode (Online or Onsite), intake and session.
Your FIN, fee items, balances and payment history.
Your course enrolments, results and grades.
Your attendance.
Library borrowings.

Collected automatically

Attendance for online classes is taken from Microsoft Teams meeting reports after each lecture, when you joined, when you left, and for how long. This is matched to you by the email address on your student record. It is calculated on our servers, never on your phone.
Crash and error reports, so we can fix faults.
Product analytics, which screens are used, so we know what to improve. See section 4; you can turn this off.

Two things we never collect.
Payment card details. No money moves through this app. You pay the seminary’s bank directly, using your own bank or remittance service, and upload proof afterwards. There is no card form and no payment processor in the app.

Your fingerprint or face. If you enable Face ID or fingerprint unlock, the match happens inside your phone’s secure hardware and returns only yes or no. No biometric data is ever sent to the seminary, and we could not read it if it were.

3. Who else sees it

Inside the seminary

Staff see only what their role requires. The Bursary sees fees and payment proofs; lecturers see their own classes; the Registrar sees records. This is enforced by the database itself, not only by policy, a query that should return nothing returns nothing.

Your class chat room is students only. Staff are not members of it. Announcement and official rooms include staff, and are marked as such in the app.

Class Prophets and Prophetesses are elected students who administer their own class group. They can moderate messages in that group. They are not staff and hold no access to anyone’s fees, results or records.

Outside the seminary

We use these providers to run the service. They process data on our instructions only, and none of them sells it.

About Gabriel, the in-app assistant. When you ask Gabriel a question, your question is sent to Anthropic in the United States to generate the answer. Do not put anything in it you would not want to leave Nigeria.

Gabriel runs as you. It can only read what you could already read yourself, it cannot see another student’s balance, results or record, and returns nothing if asked. That limit is enforced by the database, not by instructions given to the assistant.

We will also disclose information where Nigerian law requires it, or to protect someone’s safety.

4. Analytics, and how to switch it off

The app sends product-usage events and crash reports so faults can be found and fixed. This is on by default and you can turn it off at any time in Settings → Privacy. Turning it off stops collection immediately.

Before anything leaves your phone, sensitive values are removed by field name, FINs, balances, amounts, grades, results, payment references, payer names, email addresses, phone numbers and tokens are replaced with [redacted]. Web addresses are stripped for the same reason, because they can carry the same values. Session replay is masked: text you type is not recorded.

Analytics identifies you only by a random account identifier. It never carries your name, email address or FIN.

5. How long we keep it

Academic records, enrolments, results, transcripts and attendance, are kept permanently. They are the seminary’s institutional record and the basis of any transcript or certificate we issue you later.
Payment proofs and financial records are kept as long as accounting and audit obligations require.
Messages stay in their class room while it exists.
Crash reports and analytics are kept for a limited period by the providers above and are not tied to your name.

Your email address is kept permanently, even if your account is deleted. The seminary allows one registration per person, ever. To enforce that, we keep a record that the address has been used. It cannot be re-registered afterwards, by you or by anyone else. This is deliberate, and it is the one thing deleting your account does not undo.

6. Your rights

You can ask us to:

show you what we hold about you;
correct anything that is wrong, names and records come from the admitted register, so corrections go through the Registrar;
delete your account (see below, and note the limits above);
stop analytics collection, you can do this yourself in Settings.

Write to the address in section 8. We will respond within 30 days.

7. Deleting your account

You can request deletion at any time, in the app under Settings → Account, or on our account deletion page.

Deletion is handled by the Registrar rather than being instant and automatic, because your academic record is an institutional document and because of the permanent-email rule above. The deletion page sets out exactly what is removed and what is kept.

9. Changes

If we change this policy we will update the date at the top, and tell you in the app when the change is significant.
